Information You Provide
- Account registration: Name, email address, password (stored as a secure hash), and country preference.
- Marketplace listings: Property details, descriptions, pricing terms, and uploaded images.
- Messages: Content of messages sent through our built-in messaging system.
- E-book requests: Name and email address when you request our free guide.
- Saved calculations: Calculator inputs and results that you choose to save to your account.
- Chat conversations: Messages exchanged with the RTOCalc Assistant chatbot may be stored to improve the service and to follow up on requests. Conversations are linked to your email address only if you choose to provide it.
Information Collected Automatically
- Usage data: Pages visited, features used, and general interaction patterns via Google Analytics.
- Device information: Browser type, operating system, and screen size (collected anonymously via analytics).
- Country preference: Your selected country (Canada or United States), stored in a session cookie.
Information We Do Not Collect
- We do not collect financial information such as bank accounts, credit card numbers, or social insurance / social security numbers.
- Calculator inputs are processed in real time and are not stored unless you explicitly choose to save a calculation while logged in.
2. How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve RTOCalc’s calculator and marketplace services.
- Create and manage your user account.
- Display your marketplace listings to other users.
- Facilitate messaging between users regarding listings.
- Send you the free e-book or guide you requested.
- Apply country-specific defaults (currency, provinces/states, insurance rates) based on your selection.
- Analyse site usage to improve functionality and user experience.
We do not sell, rent, or trade your personal information to third parties for marketing purposes.
4. Third-Party Services
We use the following third-party services:
- Google Analytics: Collects anonymised usage data to help us understand how visitors use the site. Google’s privacy policy applies to the data they process. You can opt out using a browser extension.
- Cloudflare (R2 & CDN): Listing images are stored on Cloudflare R2 and served via a content delivery network (cdn.rtocalc.com) for fast, reliable access.
- Cloudflare Turnstile: Used on certain forms to prevent automated spam submissions. No personal data is collected by Turnstile beyond the verification check.
We do not share your personal information with these services beyond what is necessary for them to function.
5. Image Uploads & Storage
When you upload images to a marketplace listing, those images are stored securely on Cloudflare R2 and served via our CDN (cdn.rtocalc.com). Images associated with active listings are publicly accessible. When you delete a listing or remove an image, it is permanently deleted from our storage.
Please do not upload images containing sensitive personal information (e.g., documents with addresses, financial details, or identification numbers).
6. Messaging
Messages sent through RTOCalc’s built-in messaging system are stored in our database and are accessible only to the sender and recipient. We do not monitor or read private messages unless required to investigate a reported violation of our Terms & Conditions or to comply with a legal obligation.
7. Data Retention & Deletion
- Account data: Retained as long as your account is active.
- Listings: Retained as long as the listing exists. Deleted listings and their images are permanently removed.
- Messages: Retained as long as your account is active.
- Saved calculations: Retained as long as your account is active.
- E-book subscriber data: Retained until you unsubscribe or request deletion.
You can delete your account at any time from your account settings. Account deletion permanently removes your profile, listings, messages, saved calculations, and all associated data.
8. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access the personal information we hold about you.
- Correct inaccurate or incomplete information.
- Delete your account and associated data.
- Export your data in a portable format.
- Withdraw consent for optional data processing (e.g., analytics).

8a. Canadian Privacy Law (PIPEDA)
RTOCalc.com is operated by RTOCalc Inc., a federally incorporated Canadian company, and is subject to the Personal Information Protection and Electronic Documents Act (PIPEDA). Under PIPEDA, you have the right to access your personal information, know how it is being used, and challenge its accuracy. You may also file a complaint with the Office of the Privacy Commissioner of Canada at priv.gc.ca if you believe your privacy rights have been violated.
8b. European Union Users (GDPR)
If you are located in the European Economic Area (EEA), the General Data Protection Regulation (GDPR) applies to our processing of your personal information. We process your data on the following legal bases:
- Contract performance: To create and manage your account, display your listings, and provide calculator services you have requested.
- Consent: For optional analytics cookies and marketing communications. You may withdraw consent at any time.
- Legitimate interests: To improve our platform, prevent fraud, and ensure platform security.
In addition to the rights listed above, EEA users have the right to lodge a complaint with your local data protection authority. A list of EEA supervisory authorities is available at edpb.europa.eu.
8c. International Data Transfers
RTOCalc Inc. is based in Canada. When you use our platform, your data may be processed or stored in other countries, including the United States, through our third-party service providers (Google Analytics and Cloudflare). These providers maintain appropriate safeguards in accordance with applicable data protection law. By using RTOCalc, you acknowledge that your information may be transferred to and processed in countries outside your own.
9. Children’s Privacy
RTOCalc is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that a user is under 18, we will take steps to delete their account and associated data.
10. Data Security
We take the security of your personal information seriously. We implement reasonable technical and organizational measures to protect your data against unauthorized access, loss, disclosure, or misuse. These measures include password hashing, HTTPS encryption, secure token-based authentication, and access controls limiting who can access user data. While we strive to protect your information, no method of transmission over the internet is completely secure, and we cannot guarantee absolute security.
11. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. When we make material changes, we will update the “Last Updated” date at the top of this page. We encourage you to review this policy periodically.
